What is an Access Control System?

An Access Control System is a security system designed to manage and control entry into and throughout the facility. These systems control who can enter, when they can enter, and where they can enter based on an authorized credential or biometric (hand, finger, eye, etc.). These systems are designed to allow authorized personnel access to the critical areas of your facility while restricting these areas from unauthorized personnel.  

For large enterprise businesses the access control system is the primary platform for managing the electronic security systems across a campus or the across the enterprise. The enterprise level access control systems allow for the integration and monitoring of the alarm points and video surveillance cameras by the onsite security staff. 

For small to medium sized businesses the access control system is one of several systems that may be deployed to provide protection of the business. The others systems being an intrusion alarm system and video surveillance system.

Access Control System Software

Software & Remote Applications

All access control systems are managed from a software. The software at a minimum allows you manage the credentials and readers associated with the system, assign a credential to authorized personnel, define which doors that credential is valid on, define time parameters for the credential, time parameters for door unlock schedules, define holidays schedules, configure access groups, and provides system reports. 

Some, not all systems, have an associated smart application allowing you to view and manage the system form your smart phone or smart device.

Depending on the system design as to where the software resides. For the older systems the software resides on a PC. The more modern systems the software may reside in the Cloud or be served up over the network from an appliance and accessed from your Web Browser. For the more powerful enterprise systems the software resides on powerful servers or virtual machines.
  
Depending on the manufacturer as to how often the software may be updated for new features. integrations, and security enhancements. Some manufacturers only update their software when critical events require an update others are constantly improving their software.

Door Controllers

The door controller is the control panel / device that is located at the site that connects to the card readers, electronic locks, door contacts, request to exits, and local sounders to communicate with the software. These controllers are specific to the manufacturer. These door controllers are designed to control from one to several doors. Some door controllers only control 1, 2, 3, or 4 doors; while others are designed to control 4, 8, 10, 12, 14 doors. Almost all door controllers are designed to retain the programming information and a limited amount of event history information when the controller not connected to the software.

Popular Readers & Credentials

Mobile Credentials – Mobile credentials are one of the most recent and secure credentials available. The credential is installed on your smart phone and read at the door by the mobile enable reader. These readers read the secure BLE or NFC data from the phone.  

Proximity Technology – The most common reader and card technology being utilized is proximity technology, RFID. The majority of the systems deployed in the last 10 years utilize proximity technology. This technology makes use of the electromagnetic waves between the card and reader to capture and read data.

Biometric Readers – These readers are designed to read a biometric, thus eliminating the need to carry a card or phone. These readers are designed to read fingerprints, hands, eyes, faces, etc. The downside to this technology is two-fold; they tend to be much more expensive and the proximity or mobile readers and they typically require a separate database to manage the biometric templates.  

PIN Readers – PIN code readers are available as well. These readers can be a separate PIN code reader or integrated with a Proximity reader. They require an authorized PIN number to gain entry. When utilized with the Proximity reader they can provide an additional level of security. Requiring both a valid proximity card and an authorized associated PIN code.

Door Monitoring

The access control systems allow for the monitoring of the door through the system. The door can be monitored for door forced open conditions and door held open conditions. The door forced open condition occurs when the door is opened without the use of an authorized credential. Door prop open condition exists when door is left in the open position for an extended period time after a valid credential has been used to pass through the door. Alarms can be configured to trigger on the software and sound locally.  

Electronic Door Hardware

The doors being controlled by the access control system must be electronically controlled so they can be electronically locked and unlocked. The type of hardware being utilized is dependent on the door and the existing hardware in placed. All doors can be electronically controlled some are easier and more cost effective than other doors.
  
Common electronic door hardware devices are:
• Electric Locksets
• Electric Mortise Locksets
• Electric Strikes
• Magnetic Locks
• Electric Panic Hardware

The electronic door hardware requires low voltage power in order to operate.  Typically 24VDC power is utilized for commercial applications. The electric locksets, electric mortise locksets, electric strikes, magnetic locks, and some electric panic hardware can be powered by the 24VDC power supply. Some electric panic hardware requires a separate dedicated power supply. All power supplies should be equipped with battery back-up and lock power isolation relays.

Not All Access Control Systems Are Created Equal

Having reviewed and installed numerous access control systems over the years I can tell you not all access control systems are equal. The more cost effective systems lack some of the key software features and handle door alarms and notifications much more differently than the more sophisticated systems. The more advanced systems allow for unique integrations of the video surveillance system, photo ID systems, and intrusion alarm systems. That is why you need to partner with a security system integrator who can help identify the best system for your application and your future and who can define for you the advantages and disadvantages for each system.

Access Control System Cost

The cost of the system can vary greatly based on the access control system being deployed. This cost estimate includes the software, door controller, reader, door contact, request to exit, door hardware, cabling, and labor to install the system. This costing is based on prices in the San Francisco Bay Area. The cost may be less outside of the SF Bay Area. 

The average cost per door is: $2,500-$3,500 per door depending the system being deployed, the difficulty to install cabling, and the electronic door hardware required.  The cost range per door is: $1,500-$7,500 per door.  

If you are considering a 10 reader system and budget $35,000 this will typically be a solid budgetary number for a normal office building.
